Payment Schedule
Note: All tours are designed for adults. Some may be suitable for older children. Regardless of age children must pay full price unless otherwise noted, and a parent or guardian must accompany those under 18. What is Not IncludedAirfare; transfers between airport and hotel; trip cancellation/interruption and baggage insurance; personal items such as wines, liquors, a la carte orders, room service, valet/laundry charges; and meals and other items not specifically mentioned as included. DUE TO FLUCTUATING OIL COSTS, we may find it necessary to add a fuel surcharge to your tour price. Cancellation and RefundsFor all tours, written cancellation is required to process a refund. Cancellations on Domestic Tours: Cancellations received 90 days or more prior to tour departure: $50 cancellation fee. Cancellations received 89-60 days prior to departure: forfeiture of $200 deposit. Cancellations received 59 days or less prior to departure will be charged 50% of the tour cost, or hotel, supplier and other expenses that cannot be recovered, whichever amount is greater. Cancellations on International Tours: Cancellations received 120 days or more prior to tour departure: $100 cancellation fee. Cancellations received 119-90 days prior to departure: forfeiture of $500 deposit. Cancellations received 89-30 days prior to departure will be charged 50% of the tour cost, or hotel, supplier and other expenses that cannot be recovered, whichever amount is greater. Cancellations received 29 days or less prior to departure there is no refund. No refunds for unused portions of the tour including but not limited to, missed meals, hotel nights and sightseeing. Cancellation of program by South Mountain Expeditions, LLC: full refund. South Mountain Expeditions, LLC reserves the right to decline any person as a participant on a tour, or to require any participant to withdraw from the tour at any time, when such action is determined by tour staff to be in the best interests of the health, safety or general welfare of the tour group or the individual participant. In such a case, a refund equal to the actual cost of the unused services is the limit of South Mountain Expeditions' responsibility. NOTE: South Mountain Expeditions, LLC is not responsible for any costs incurred due to travel delays, flight cancellations, or sickness. South Mountain Expeditions, LLC is not responsible for penalties incurred from the purchase of nonrefundable airline tickets. Should events beyond the control of South Mountain Expeditions, LLC necessitate the cancellation of the program while on tour, a full refund of land costs will be calculated based on the cost of services used up to the time of the group’s return. Itinerary or Program Modifications While every effort will be made to carry out the program as planned, the program as described is subject to modification and change by South Mountain Expeditions, LLC. Please be aware that trip arrangements are often made up to a year in advance, and unforeseen conditions might arise that make changes necessary Single RoomsA limited number of single rooms are available at extra cost on a first-come, first-served basis, but availability cannot be guaranteed. We will assist persons requesting a roommate. However, neither a single room nor a share can be guaranteed. Individual participants desiring to share a room will be notified if we are unsuccessful in finding a suitable roommate. In this case, the single supplement or single arrangements rate will be charged. A Note About CostAll tour prices are per person, based on double occupancy, unless otherwise noted. The tour costs are based upon current fuel prices, tariffs, and in the case of international tours, airfares, and currency values at time of pricing and on the basis of a minimum number of participants. While we do everything possible to maintain the listed prices, they are subject to change. If we find it necessary to levy a surcharge, notification will be given at the time of invoicing. In any case, the usual cancellation penalties as outlined above apply. Baggage and personal effects are at all times the sole responsibility of the participant. RESPONSIBILITY STATEMENT AND LIABILITY DISCLAIMER AS A CONDITION OF ACCEPTANCE OF ANY APPLICATION, EACH APPLICANT MUST AGREE TO THE STATEMENT SET FORTH BELOW: The undersigned has read carefully the Responsibility Statement and Liability Disclaimer set forth above, the schedule of activities for this tour, as well as the terms and conditions of application and participation as set forth in the tour brochure(s), and recognizes and accepts any risk associated with the tour and the conditions, including the refund policy, set forth in the tour brochure(s). The undersigned further acknowledges that there are many risks and uncertainties inherent in any travel tour, including but not limited to the hazards of various modes of transportation, forces of nature, acts or omissions of foreign governments, terrorism, war or insurrection, theft, illness, and damage to person or property due to the negligent acts or omissions of tour staff or others. In consideration of, and as part payment for, the right to participate in the tour, the undersigned, on behalf of himself, his dependents, heirs, executors, administrators and assigns, agrees to release SOUTH MOUNTAIN EXPEDITIONS, LLC from liability for personal injury, death, property damage or loss suffered by any person in connection with this tour, even if caused by the negligence (but not the reckless, willful, or fraudulent conduct) of tour staff or other related persons or entities. In addition, by registering for this tour, the applicant certifies that he is mentally and physically capable of full participation in this tour. By registering for a tour with SOUTH MOUNTAIN EXPEDITIONS, LLC, the participant agrees to the Responsibility Statement and Liability Disclaimer and the Terms and Conditions herein. Signature: Date:
